1.As advised in the communication of 13 October 2020, in order to log-on to the e-voting system, Convocation members will require their student or staff number and identity or passport number registered with the University. A One-Time-Password (OTP) will be generated by the e-voting system and sent to the Convocation member’s email address or cellphone number. In order for Convocation members to access the e-voting site, it is imperative that the University has accurate and updated details of the Convocation member.
2.Process to update the Convocation Roll:
2.1 PROCESS FOR GRADUATES OF THE UNIVERSITY (ALUMNI)
The Alumni Office will send an individual email to the alumni of the University with a link to update information. This email will be sent to the email of alumnus on file.
Should you not receive an email by Friday, 23 October 2020, kindly inform the alumni office by email at email@example.com or use the following link to update your details:

Step 1: Insert your email address for a search of the Convocation Roll to be done.
If no match is found:
a. Refine your details by providing extra information including your name, surname, date of birth, identity number, cell number.
After submitting the above your details:
b. You will receive an email with an encrypted link to your information included on the Convocation Roll.
c. Click the link and you will be taken to the detailed update page, where you are able to update your address, email address and cell number.
Should you require confirmation of your student number, please send an email to firstname.lastname@example.org.
2.2 PROCESS FOR:
ACADEMIC EMPLOYEES IN THE EMPLOY OF THE UNIVERSITY (PERMANENT OR ACADEMIC STAFF ON CONTRACT FOR NOT LESS THAN ONE (1) YEAR);
EXECUTIVE MEMBERS OF THE UNIVERSITY;
THE UNIVERSITY LIBRARIAN;
THE TWO (2) MEMBERS OF COUNCIL ELECTED BY COUNCIL TO SERVE ON SENATE; EMERITUS PROFESSORS OF THE UNIVERSITY; AND
PERSONS WHO WERE MEMBERS OF THE CONVOCATION AS AT 7 SEPTEMBER 2018 (commencement of the UWC Statute, 2018):

When you click on the relevant link, you will be prompted to insert your identity or passport number. This will enable you to access your Convocation Roll information on file. You will be able to update your cellphone number and email address. The remaining fields (names, staff number and identity/passport number) cannot be updated.
3.The period for updating of information on the Convocation Roll is active immediately and will close at 12h00 on Monday, 23 November 2020. The Convocation Roll will be made available to the service provider appointed to conduct the e-voting at the close of the updating period
4.IMPORTANT: It is the responsibility of the Convocation member to ensure that they have updated their contact details in order to participate in the Elections by e-voting.
The University shall not be held responsible for a Convocation member being unable to participate in the elections through the e-voting site due to failure on the part of the Convocation member to update his/her details on the Convocation roll by the cut-off date of 12h00 on 23 November 2020.
