VOTING RULES AND PROCEDURES

• Only members of Convocation have the right to vote.
• There are nine (9) candidates on the ballot paper, arranged in alphabetical order of surname.
• You may vote for a maximum of TWO (2) candidates of your choice.
• Vote by making a selection in the box on the right-hand side of the name/s of the candidate/s of your choice.
• All ballots must be submitted to EISA by the closing date and time of 12h00 on Saturday, 20 June 2026 to be considered.
• The two (2) candidates who receive the highest number of votes will be deemed elected.

HOW TO VOTE USING ONLINE VOTING

Voting online can be accessed from 10:00 on Saturday, 13 June 2026 until 12:00 on Saturday, 20 June 2026, when voting closes.

Step 1: Go to https://www.eisaict.org.za/UWCConvocation to vote in the Convocation election.

Step 2: Enter your student number or staff number and ID number (or passport number for foreign nationals).

Step 3: Enter the one-time password (OTP) you received via SMS and/or email – if you did not receive an OTP via SMS and/or email, click the “Resend OTP” button. This OTP is randomly generated and secure.

Remember that your OTP is only valid for one vote, so do not share it with anyone.
Please check your spam/junk mail folder if you have not received the OTP via email.

Step 4: Click on the “Login” tab.

Step 5: Once on the ballot screen, make your selection by clicking in the box next to the name/s of the candidate/s of your choice. If you select more than two candidates, the system will display an error message and will not allow you to proceed to the next step.

Step 6: After making your candidate selection, click on the tab “Confirm”.

Step 7: Your selected candidates will be displayed.  If you made a mistake while completing the voting process, you can click “Change Selection” and restart the process.

Kindly note that you may abstain from voting by not selecting any candidates and simply clicking the “Confirm” button.

Step 8: Click “Confirm” to complete the voting process.  Once you confirm your final selection you cannot change your selection.

Please note that you can only vote once. The system will reject any subsequent attempts after you complete your first vote. No duplicate votes will be allowed. The system will display the following message in the event of duplicate votes: “You have already submitted a vote”.

VERY IMPORTANT: If you have not completed the process due to reasons such as system or internet failure, then you may try again until you succeed.

The process is only complete when you successfully receive an online message that says, “Thank you for your vote”.

It is the responsibility of the Convocation member to ensure that they have updated their contact details with the University in order to participate in the Elections by e-voting. Neither the University nor EISA will be held responsible for a Convocation member being unable to participate in the elections through the e-voting site due to failure on the part of the Convocation member to update their details on the Convocation roll.
